Terms of service
These terms cover your practice's use of No-Show Recovery. By creating an account you agree to them on behalf of your practice.
The service
We provide software that texts your waitlist when an appointment opens and books the first patient who replies YES. Texts say only that a dental appointment opened up, at which practice and when; they are not a way to send clinical or treatment information. We provide a toll-free number for your practice. We don't guarantee that any slot will be filled.
No protected health information
By using the service, your practice agrees not to enter protected health information (PHI) or any medical, clinical or treatment information. That includes procedures or treatment types, reasons for a visit, diagnoses, notes, insurance details, dates of birth, patients' last names and patients' email addresses.
The service is designed to hold only a patient's first name or initials, a mobile number and their text-consent status, plus appointment times and generic provider or chair labels. It blocks fields and text that look clinical, and you confirm this commitment during setup. Because we do not receive PHI, we are not a HIPAA business associate and we do not sign business associate agreements. If your practice needs a business associate agreement for this kind of messaging, this service is not the right fit.
If we find PHI in the service we may delete it without notice, and repeated or deliberate breaches can lead to suspension.
Your responsibilities
- Only add patients who agreed to receive appointment texts from your practice, and keep a record of how. You confirm this consent whenever you add or import patients.
- Describe your consent process honestly when you submit business verification.
- Honor STOP requests (the service does this automatically) and never re-add someone who opted out without new consent.
- Don't put medical or treatment information anywhere in the service, including practice, provider or label fields.
- Comply with the laws that apply to you, including the TCPA and state texting rules.
Number verification
US carriers must approve your toll-free number before it can text patients, usually in 3 to 5 business days. Broadcasting is off until approval. Carriers can reject a submission; we will tell you why so you can resubmit.
Plans, trial and payment
Plans are billed monthly in US dollars, per location, through Dodo Payments, our merchant of record. New accounts get a 14-day free trial with no card. Each plan includes a number of texts per billing period; when you reach it, broadcasting pauses until the next period or until you upgrade. You can cancel any time; access continues to the end of the paid period. Refunds follow the policy shown at checkout.
Acceptable use and suspension
We may suspend an account that sends unwanted or unlawful messages, or that puts our carrier relationships at risk.
Availability and liability
We work to keep the service running but can't promise it will always be available, and carriers may delay or block messages. To the extent the law allows, our liability is limited to the fees you paid in the three months before the claim.
Ending the relationship
Delete your account from Account settings at any time. Texting stops immediately and your practice's data is permanently deleted 30 days later; see the privacy policy for details and for our 90-day retention of waitlist entries and message logs.
